1. Introduction
Data protection is a high priority for the management of Novus Altair Limited (“we”, “us”, “our”), trading as Novus Altair IT. This Privacy Policy explains the nature, scope and purpose of personal data we collect, use and process in connection with:

Where processing is necessary and no other lawful basis applies, we obtain consent.
Internet-based transmissions can never be guaranteed as absolutely secure. You may also contact us by telephone if you prefer not to send personal data online.

4.2 Information collected automatically

- Cookies and similar technologies — see our Cookie Policy and section 11 below. This site may load third-party scripts (for example live chat) that set their own cookies.
4.3 Information from third parties
- Public sources or business directories where lawful for B2B outreach.
- Form and messaging providers that deliver enquiries to us (for example the quote form backend).
- Hosting, email and support tooling that support our operations.
We do not intentionally collect special category data on this marketing website. If you choose to include sensitive information in a free-text message, we will handle it carefully and only as needed to respond.
5. How we use personal data
- To operate, secure and improve this website and related communications.
- To respond to enquiries, provide quotes, demos and customer support.
- To deliver contracted IT and related services, billing and account administration.
- To send service messages (security alerts, downtime, material changes to services you use).
- To send marketing communications where permitted (and with an easy opt-out).
- To process job applications and assess suitability for roles.
- To comply with law, enforce terms, prevent abuse and protect rights, property and safety.
- To produce aggregated or anonymised analytics that do not identify individuals.
6. Lawful bases (UK / EU GDPR)
Depending on the activity, we rely on one or more of:
- Contract — to provide the services you or your organisation request (including quotes leading to engagement).
- Legitimate interests — to run and improve our business, secure systems, respond to B2B enquiries, and market similar products to existing or prospective business contacts, balanced against your rights.
- Consent — where required (for example certain cookies, optional marketing). You may withdraw consent at any time without affecting prior lawful processing.
- Legal obligation — where we must retain or disclose data to meet legal or regulatory duties.
7. Sharing and processors
We do not sell personal data. We may share data with:
- Service providers (processors) — hosting, email, form delivery (for example Web3Forms for quote submissions), live chat (Tawk.to), analytics, customer support tooling, payment processors and similar suppliers under contract and confidentiality terms.
- Your organisation — if you contact us on behalf of a business, we may share relevant correspondence with other contacts at that organisation as needed to fulfil the enquiry.
- Professional advisers and authorities — lawyers, auditors, insurers, or regulators / law enforcement where required or permitted by law.
- Business transfers — in connection with a merger, acquisition or reorganisation, subject to appropriate safeguards.
8. International transfers
Novus Altair operates from the United Kingdom and may work with offices, partners or providers in other regions. Personal data may be processed outside the UK / EEA where our providers or group operations require it. Where we transfer personal data internationally, we use appropriate safeguards such as the UK International Data Transfer Agreement / Addendum, EU Standard Contractual Clauses, or other lawful mechanisms, and assess risks as required.
9. Retention
We keep personal data only as long as needed for the purposes above, including:
- Enquiry / contact data — typically up to 24 months after last meaningful contact, unless a longer relationship or legal hold applies.
- Customer / contract data — for the life of the contract and a reasonable period afterwards for billing, disputes and legal claims (often up to 6–7 years for financial records under UK practice).
- Recruitment data — usually up to 12 months after the process ends unless you agree to a longer talent-pool period or law requires otherwise.
- Server and security logs — shorter rolling periods unless needed for investigation.
- Cookie consent preference — stored in your browser (local storage) until you clear it or change preference.
When data is no longer required, we delete or anonymise it.
10. Security
We implement technical and organisational measures appropriate to the risk — including access controls, encryption in transit where standard, environment separation, staff confidentiality obligations and monitoring. No method of transmission or storage is 100% secure; please use strong passwords where accounts exist and report suspected incidents promptly to info@novusaltair.com.
11. Cookies and similar technologies
Cookies may be used for essential site operation, preferences, security, live chat and, on some properties, analytics or marketing. Full detail is in our Cookie Policy. You can control cookies through your browser settings and the cookie banner on this site; blocking some cookies may affect features such as chat.
12. Your rights
Subject to conditions and exemptions under UK / EU data protection law, you may have the right to:
- Confirmation and access — whether we process your data and a copy of it;
- Rectification — correct inaccurate or incomplete data;
- Erasure (“right to be forgotten”) in certain circumstances;
- Restriction of processing in certain circumstances;
- Data portability for data you provided to us on the basis of consent or contract;
- Object to processing based on legitimate interests, and to direct marketing at any time;
- Withdraw consent where processing is consent-based;
- Complain to a supervisory authority.
In the UK, the supervisory authority is the Information Commissioner’s Office (ICO) — ico.org.uk. We would appreciate the chance to resolve concerns first via the contact details above.
To exercise rights, email info@novusaltair.com with enough detail for us to verify your identity and locate your data. We aim to respond within one month (or as otherwise required by law).
13. Children
Our website and business services are directed at organisations and adults. We do not knowingly collect personal data from children under 18 via this marketing site. If you believe a child has provided personal data, contact us and we will take appropriate steps to delete it.
14. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page will change when we do. Material changes may also be notified by email or a notice on the website where appropriate. Continued use of the site or services after an update constitutes awareness of the revised policy; where consent is required, we will seek it as needed.
